What was the problem, and what changed? Order handling, sales negotiations, customer support, lead generation, and multilingual communication. Here, we introduce what systems were built to address each company’s different challenges, and what kind of changes those businesses saw.

Company A | From being overwhelmed by orders to a structure that can grow the business.

Goal: Build a structure that can handle new and large-scale projects while managing daily orders.

Challenge | Order intake by email, fax, and phone was straining operations.

At Company A, order intake via email, fax, and phone was putting a strain on operations. The workload of handling existing orders was high, making it difficult to win new projects or secure large client accounts.

They handled consigned inventory and made-to-order items based on customer specifications. They needed order management and inventory management suited to these types of transactions, and a system that could keep working as business volumes increased.

Solution | We designed order handling, inventory, and client sharing together.

  1. We systematized order management for consigned inventory and made-to-order items.

    We built a system to manage orders for consigned inventory and made-to-order items with individual specifications, matching the company’s transaction model.

  2. We established an inventory management workflow using RFID.

    We established an inventory management flow using RFID. In addition to system functions, we organized the workflow to include on-site operations.

  3. We shared inventory counts with the client in real time.

    We enabled real-time sharing of consigned inventory counts with the client. This was a system that supported not only the order side, but also the client placing the order.

After implementation | Reduced client burden and supported new business acquisition.

We put order management and inventory management in place, including actual operations. The result was a system designed not only to keep existing work moving, but also to support the acquisition of new projects.

Company B | Bringing negotiations, documents, and payments together in a My Page.

Goal: Consolidate one-on-one consultations, estimates, documents, and payments to reduce management costs.

Challenge | They wanted to connect consultation-based products through to purchase and management.

Custom orders cannot proceed to purchase simply by selecting a product like an off-the-shelf item. The team must hear the customer’s requests, align on specifications, provide an estimate, and then move to payment based on the agreed details.

At Company B, the theme was to handle customer negotiations as well as the operational side—estimate calculations, and management of quotes, invoices, and receipts—in one system.

Solution | We designed negotiations, estimates, documents, and payments together.

  1. Align individual requests through chat.

    We built a communication chat in the My Page, enabling custom-order negotiations.

  2. Automatically calculate estimates and consolidate documents.

    Estimates are automatically calculated on the management side. Quotes, invoices, and receipts can be checked in the My Page.

  3. Move from negotiations to payment.

    We connected the negotiation and payment flows, creating a seamless process from consultation to purchase.

After implementation | Easier for customers to buy, easier for the company to manage.

From consultation to document review and payment, all in the My Page.

Customers can now consult about individual requests and proceed through to payment in the same flow. Quotes, invoices, and receipts can also be checked in the My Page, allowing purchase-related information to be handled in one place.

Consolidated information and reduced management costs.

We centralized negotiations, quotes, invoices, and receipts in the My Page. Combined with automatic estimate calculations on the management side, this reduced the cost of managing information.

Company C | Reducing support burdens and opening the door to new business.

Goal: Create a state where users can keep moving forward without getting stuck on questions, while reducing the operational burden of answering them.

Challenge | Answering by researching each individual case created a heavy cost burden.

Users would ask how to use the service or whether there were any issues. In response, Company C’s operations team answered while also researching individual cases, which created significant support costs.

The challenge was to balance support that helps users move forward without getting stuck, while also reducing the burden on operations.

Solution | AI chat supports usage guidance and issue checks.

  1. Made it easy to ask questions while using the service.

    We built an AI chat that users could turn to for help with how to use the system. We incorporated a point of contact into the service for users to resolve questions.

  2. Automatic responses also support issue checks.

    In addition to usage guidance, the AI chat also supports checking for issues. We built a system that responds to inquiries and checks during use.

After implementation | Nearly eliminated response costs and supported new customer acquisition.

The operations side has nearly eliminated response costs, including individual research.

The cost of handling inquiries that required researching individual cases has been almost eliminated. The system now supports customer use while reducing the burden on operations.

Users can ask questions easily and keep moving forward without getting stuck.

AI chat made it easier to ask questions, allowing customers to continue using the service without getting stuck. This change has also helped attract new customers.

Company D | Keep communicating continuously and connect with new markets.

Target: Lead-generation videos / static content / generative AI / regular distribution

Challenge | How can information be delivered continuously to people who don’t know the product yet?

Expanding into new markets requires points of contact with people who do not yet know the product or service. At Company D, we worked on regularly distributing videos and static content to continuously create opportunities for people to learn about them.

Solution | We used generative AI to keep producing and distributing content.

  1. Produced videos and static content for lead generation.

    Using generative AI, we produce videos as well as static content such as images.

  2. Not just a one-time production—delivered regularly.

    We distribute content regularly, building repeated touchpoints with people learning about the product and service.

After implementation | Reach grew and new markets expanded.

Through regular distribution of videos and static content, reach increased and new markets expanded. This is an effort that includes not only preparing content, but also the operations needed to keep delivering it.

Company E | Turn specialized news into language that reaches overseas.

Goal: Preserve the meaning of specialized information and create a state where it can be continuously shared overseas.

Target: Multilingualization of a specialized news media outlet / site construction and operations with AdWell GO / linking technical terms with AI translation

Challenge: Simply replacing words is not enough to convey specialized information.

Some technical terms change meaning when translated using ordinary equivalents. We needed a system that could keep delivering the daily flow of news overseas while standardizing word usage, including proper nouns and spelling variations.

Solution: Turn media knowledge into a glossary and combine it with AI translation.

  1. Share the rules for technical terms. Register the translations you want to use for each language, and organize names that should remain in the original language as well as spelling variations.

  2. Feed article-specific terms into AI translation. Reference the terms that appear in each article from the glossary and apply specialized knowledge to translation decisions.

  3. Operate while protecting human edits. Human-edited translations are not overwritten by machine translation, and ongoing review of articles and the glossary leads to continuous improvement.

Current stage: Moving from build to operations. A challenge to grow the translation system.

Using AdWell GO, we are working on building and operating a multilingual news site that combines technical-term localization with AI translation. To balance specialization with ease of updates, issues found in actual operations are fed back into the design.

Can we build a system from your challenges, too?

We ourselves also sell products and services, and improve our daily operations. Drawing on the challenges we experienced as users, we are developing systems that connect purchasing, repeat use, logistics, and profitability.

SaaS for specialized services | Continuing support even as the number of users grows.

Challenge: Continue post-purchase support while handling highly specialized inquiries. We also needed mechanisms for subscriptions and repeat purchases.

Our work: In addition to system design and subscription setup, we automated customer success. We also use Sitekitt repeat emails and recurring purchases through Stripe and GMO Payment Gateway.

What changed: This led to more users and lower maintenance costs. It is a practice that balances business growth with reducing the burden of ongoing support.

Sitekitt | Expanding EC to match your company’s workflow.

Challenge: In addition to EC sales functions, we needed integration with unique internal operations such as logistics management and in-house systems.

Our work: We developed our own EC platform, Sitekitt. We customize integrations with logistics management systems such as ロジレス and in-house payroll systems to match actual operations.

What became possible: It has been used in crowdfunding projects and serves as a system that connects sales with surrounding operations.

Drawing on our experience as a manufacturer, we also introduce specialized partners we use ourselves for design, packaging work, and fulfillment. As a rule, we proceed through direct contracts and direct communication, and step in to coordinate when needed.

Cross-border EC | Looking beyond shipping prep to profitability.

Challenges we experienced: Before sales could begin, there were many initial preparations, including FedEx integration on Shopify, payment integration, and product registration. After shipping, handling Brazilian taxes also became an issue.

Our work: We experienced integration setup, sales, and shipping in-house, and understood the need to verify operations according to the sales country. We are now also working on profit aggregation that connects orders, payments, shipping fees, and cost of goods.

Current stage: Cross-border EC profit aggregation is still being improved. Our goal is a system that lets us see both whether shipping is possible and whether profit remains.

AdWell | Manage ads that fit your media, on your own.

Challenge: If unrelated ads are shown on owned media, ad operations will not contribute to increasing the value of the media.

Our work: We developed the ad management tool AdWell, which was adopted by 卓球王国. It is a system for excluding unrelated ads and operating ads that fit the media.

What became possible: It became a system that supports ad operations that increase media value. We are also taking on new business models with multilingual support.
